Where the data comes from
Axis Capture works on two kinds of data. Shared reference data — solicitations, awards, grants, research topics, agencies, codes — is public procurement data that AxisSynapse collects once for every workspace and that Axis Capture only ever reads. Your workspace's own data — profile, saved work, pursuits, notes, CRM, documents, private leads — belongs to your workspace alone and never enters the shared data. This page covers the first: which sources are collected, how fresh they are, and which are not connected yet.
TL;DR — Federal contract awards (USAspending.gov), federal contract opportunities (SAM.gov), federal grants (Grants.gov) and DoD SBIR/STTR topics (DSIP) are collected. Other agencies' SBIR topics (SBIR.gov), the stock number catalogue (DLA FLIS), agency procurement forecasts and state, local and tribal data are not collected yet. The Dashboard's Data source freshness panel shows the live state.
The sources
| Field | What it does | Accepted values / default |
|---|---|---|
| USAspending.gov | Federal contract awards and contract vehicles — plus the agencies, companies and NAICS, PSC and FSC codes behind them. | Collected hourly, each day's changes once they have settled (about two days). Feeds Awards, competitors, related awards, defense past awards and agency names. |
| SAM.gov Contract Opportunities | Federal solicitations — presolicitations, solicitations, sources sought, special notices, award notices — with their attachments and contacts. | Collected every 6 hours. Needs a SAM.gov API key, which AxisSynapse's platform operators set in the platform's operator console. Collection starts on the next run after the key is set, with no update to the platform. Until then this source never succeeds and Discovery, Matches, Just published and defense Requests have nothing to show. |
| Grants.gov | Posted federal grant opportunities. | Collected daily. Feeds the Grants screen and Discovery's Grants category. |
| DoD SBIR/STTR Innovation Portal (DSIP) | Open and pre-release Department of Defense SBIR/STTR topics. | Collected daily. Feeds the SBIR/STTR screen and Discovery's SBIR/STTR category. |
Which of these a workspace reads is its own choice: a Capture Administrator can turn Federal, State, Local and tribal, Defense, SBIR/STTR and Grants on or off in Capture settings. A source that is off is not searched, matched or alerted on.
Not connected yet
| Field | What it does | Accepted values / default |
|---|---|---|
| SBIR.gov | SBIR/STTR solicitations from every agency, not only DoD. | Not collected — its public service has been offline for maintenance. Until it returns, only DoD topics appear. |
| DLA FLIS | The National Stock Number catalogue. | Not collected — it is published as bulk files, not through a public service. Part lookups on Defense parts return nothing. |
| Agency procurement forecasts | Work agencies plan to buy. | Not collected — each agency publishes its own forecast, with no common public source. The Forecasts screen is empty. |
| State, local and tribal | Solicitations, agencies and buyers outside the federal government. | No source yet. Record state and local work as private leads. |
Data source freshness
The Dashboard's Data source freshness panel sits below your work. It lists every source with its last successful update and the records it holds, and warns when something is wrong.
| Field | What it does | Accepted values / default |
|---|---|---|
| Current | Updated within the last day. | |
| Over a day old | No successful update for more than a day. | Raises an amber note. |
| Over three days old | No successful update for more than three days. | Raises the red warning: searches and match scores may be missing work. |
| Ran, found nothing | Updated on time but brought in no records. | Also raises the red warning — a quiet feed and a broken one look the same here. |
| Never succeeded | A source that should be collected has never completed an update — SAM.gov without its key, for example. | Also raises the red warning. |
| Not connected | Listed by the platform but not collected yet, with the platform's reason. | Listed after the others, and never counted as a problem. |
Data collection is run by AxisSynapse, not by Axis Capture or your workspace. AxisSynapse's platform operators manage each source from the platform's operator console: they set the access keys a source needs (SAM.gov's, for example), choose how much each run collects, test the connection and can pause a source. A paused source keeps its records but stops updating, so it shows here as out of date. If a source stays out of date, contact your administrator.
Versions you will see on screen
Screens that read the shared data name the version they read — Corpus generation 42, Reference data as of a date. Match scores, saved snapshots and summaries record the version they were computed from, so a figure can be explained later even after the data moves on.
What your workspace adds
None of this changes what your team records. Your profile, saved work, pursuits, decisions, CRM, documents and private leads are your workspace's own, are never shared with other workspaces, and keep working when a shared source is out of date.
