/hcm/time-off is your time-off surface — balances per policy (vacation, sick, personal, sabbatical, parental, jury duty), pending and historical requests, a calendar view of your team's out-of-office, and a request form that picks the right policy and the right approver automatically.

TL;DR — Open HCM → Time off. Pick Request time off, choose dates + policy, optionally add a note, submit. The request routes to your manager; you see the decision in your Action Inbox. Active FMLA / CFRA / NY-PFL / MA-PFML claims are tracked automatically with intermittent-day support.

Before you start

  • Know your balance for the policy you want to use. The balance card shows accrued, pending, and remaining for each enabled policy.
  • If you're requesting FMLA-eligible leave (own serious health condition, family member, military caregiver, bonding), AxisSynapse evaluates eligibility against the rolling 12-month window automatically — you don't have to compute it.
  • For sabbatical, your workspace's sabbatical policy may include comp and equity vesting pauses. The detail card on the policy lets you preview the financial implications before submitting.

Submit a request

  1. Open Time off → "Request time off"

    The request form slides in. Start with the start date.

  2. Pick the dates

    Calendar picker; supports continuous and intermittent selections (one or more separate days inside an FMLA claim).

  3. Pick the policy

    The policy dropdown shows every enabled policy with your current balance. AxisSynapse pre-selects the most common match (vacation for a multi-day weekday request, sick for a single weekday).

  4. Optionally add a note

    Short text your manager sees with the request. Required for sabbatical and FMLA continuations; optional otherwise.

  5. Pick coverage if your policy requires it

    Some workspaces require you to nominate a teammate as coverage. The picker shows everyone in your direct team plus your manager.

  6. Submit

    The request lands in your manager's approval inbox; you receive a confirmation in your Action Inbox. The audit log records HCM_TIMEOFF_REQUEST_SUBMITTED.

Track approval

The Pending tab shows every request awaiting a decision. Each row has the dates, the policy, the manager you sent it to, and the time elapsed.

  • A Cancel button is available until the manager approves; after approval it changes to Cancel approved request, which routes back to your manager for a cancellation confirmation.
  • The decision appears in your Action Inbox and as a notification (per your channel preferences in Notifications).

Balances at a glance

FMLA / CFRA / NY-PFL / MA-PFML

If you initiate a leave that triggers a regulated entitlement, the form switches into the claim-aware mode:

  • Rolling 12-month evaluation. Your eligibility is computed against the rolling 12 months from your first day of leave (not the calendar year).
  • Intermittent support. A claim can include multiple non-contiguous days; the entitlement reduces by the cumulative days used.
  • Concurrent counting. Where state and federal entitlements overlap (e.g. CFRA + FMLA in California), the days count once, not twice.
  • Healthcare provider certification. If your workspace requires it, the form asks for upload at submission; HR reviews before approving.

Health PHI

Documents uploaded for FMLA / medical leave are stored under the workspace's audit-log retention for HR records (default 7 years in the US) and treated as restricted PHI. They never appear in DEI or analytics dashboards.

Sabbatical

If you elect a workspace-policy sabbatical, the detail card surfaces the consequences before submission:

What appears in the audit log

  • HCM_TIMEOFF_REQUEST_SUBMITTED — on submission.
  • HCM_TIMEOFF_REQUEST_APPROVED / ..._REJECTED — manager decision.
  • HCM_TIMEOFF_REQUEST_CANCELLED — employee or HR cancellation.
  • HCM_TIMEOFF_BALANCE_ADJUSTED — HR override of an accrual; always reviewable in the audit log.
  • HCM_TIMEOFF_FMLA_ELIGIBILITY_CHECK — FMLA evaluation result.
  • HCM_TIMEOFF_INTERMITTENT_DAY_CLAIMED — each intermittent day recorded.

Common gotchas

  • "I don't see the policy I want." It's not enabled for your benefits class. Ask your HR admin to enable it.
  • "My balance went up but I didn't get more accrual." A balance adjustment by HR (rare) appears as HCM_TIMEOFF_BALANCE_ADJUSTED in your audit feed.
  • "Cancellation of an approved request still shows me out of office." Cancellations route back to the manager for confirmation; until they confirm, the calendar block remains.
  • "I'm asked for a healthcare provider cert but I think I'm exempt." Workspace policy decides. If a small group is exempt by role / tenure, HR can override at approval time.
  • "My carry-over balance disappeared on January 1." Use-it-or- lose-it policies decay carry-over at the configured date (often end of Q1). Plan to use it before the decay.

Troubleshooting
