FAQ and troubleshooting
The questions new Axis Capture teams ask first, and what to check when a screen is empty or a button is missing. Most "it's broken" moments turn out to be one of four things: no Capture role, an incomplete company profile, a plan or AI-switch limit, or a data source that is not connected yet.
TL;DR — Missing module → assign a Capture role. Empty Matches → add target codes and Refresh scores. AI panel says not part of your plan or switched off → plan or AI switch. Empty Forecasts, State & local or part lookups → those sources are not collected yet.
Access
I can't see Axis Capture at all. You have no Capture role, or the workspace has no subscription. A workspace administrator assigns roles in Settings → People. See Getting started.
Analytics is missing from my rail. Read-Only and Standard Users do not see Analytics. Analysts and above do.
A button I expected isn't there. Buttons that change things are shown only to roles that may use them. For example: editing Company Essentials is Manager and above; recording won contracts and exporting are Proposal Manager and above; changing scoring weights is Capture Administrator only; editing the CRM is Business Development User or Manager and above.
"This workspace does not have an active Axis Capture subscription." The subscription has lapsed or is still being set up. Contact your administrator.
Finding work
Matches is empty. Check, in order: the company profile exists; it has NAICS or PSC target codes; someone has chosen Refresh scores (or a day has passed); federal solicitation data is flowing on Where the data comes from.
Discovery returns nothing. Status defaults to open work only, and every filter narrows the results. Choose Clear. If even a blank search returns nothing, the federal solicitation source is not connected — check the Dashboard's Data source freshness.
My NOT search didn't exclude anything.
Operators must be capitals: cloud NOT hardware.
Search by meaning says "Matching your words only". The workspace AI switch is off, the data has no meaning index, or a fair-use limit was reached. The results are still correct word matches.
Discovery's SBIR/STTR or Grants category shows nothing. They list open topics and grants by default; choose Closed under Filters for past ones. A filter a topic or grant cannot carry — a NAICS code, a place, a value — is named under the categories and left out. If the SBIR/STTR and Grants screens are empty too, nothing has been collected yet. See SBIR/STTR topics and grants.
Only DoD SBIR topics appear. SBIR.gov, which carries every other agency's topics, is not collected yet.
Forecasts, State & local agencies and buyers, and part lookups are empty. Agency forecasts, state/local/tribal data and the stock number catalogue are not collected yet. See Where the data comes from. Record state and local work as private leads.
Pursuing
I moved a pursuit to Pursuing and it didn't move. Committing to bid needs a Manager's approval; the pursuit waits in Bid / no-bid review until it is decided. See The pipeline → Approval to commit.
"A pursuit at … cannot go straight to …" Moves go one stage at a time along the working stages; Won is only reachable from Submitted or Award pending. The message lists the stages you can move to.
I need to change a bid decision. You can't — a recorded decision is final, by design. Record the new thinking in the pursuit's working notes, or on a task.
Nobody got a deadline alert. The pursuit has no owner (What's due says Nobody owns this), it is already Submitted, or the owner turned the alert off. See Notifications and alerts.
The deadline changed. Edit the pursuit's response deadline under Edit details. The alerts and the calendar follow the new date.
Can I pursue a private lead? Yes — Start pursuit and Save opportunity are on every lead's row in Discovery. The pursuit is named after the lead and carries its deadline. See Private leads.
Removing a private lead was refused. It is saved in My opportunities (remove it there first) or on the board (a pursuit keeps its lead — set the lead to Withdrawn instead).
Read the requirements isn't on our pursuit. Upload the solicitation under the pursuit's Documents with What is this? set to Solicitation. See Documents, requirements and tasks.
AI, confirmations and exports
"Not part of this workspace's plan." AI assistance and exporting are on the Advanced plan and above. Every score, reason and decision works without them.
"AI is switched off for this workspace." A workspace administrator controls the switch in Settings → AI Gateway.
The confirmation prompt keeps appearing. Exporting, won contracts, closing a pursuit and changing scoring weights each ask every time — the confirmation is single-use. Ordinary work never asks.
"Deciding this approval … Confirm with a passkey." Bid commitment decisions need a passkey. Add one in Account → Security.
