My opportunities and What's due

EssentialBD, Proposal Manager, Manager

My opportunities is the workspace's watchlist: every solicitation, grant, SBIR/STTR topic, forecast and private lead someone has saved, with a state, a working note and how long it has sat there. What's due is the deadline list: everything with a response or questions deadline in the next 30 days, soonest first — the same list the deadline alerts are sent from.

TL;DR — Save work from Discovery (including your own private leads), Matches, the opportunity page, Grants or SBIR/STTR. In Pursue → My opportunities, move each one through its states, keep a note, and Start pursuit when it is worth real effort. Check Pursue → What's due every morning.

My opportunities

FieldWhat it doesAccepted values / default
OpportunityThe saved record, by title, whatever kind it is.Opens where the record lives — a solicitation or forecast on its page, a grant or topic in full on its screen, a private lead in Discovery. Open opportunity appears only when the title cannot be read right now.
StateWhere the workspace has got to with it.New, Interested, Screening, Qualified, In review, Pursuing, Proposal preparation, Submitted, Won, Lost, No bid, Archived. Any state can follow any other, and every move is recorded with who and when.
PipelineThe board stage, once a pursuit has been started.Once the opportunity is on the board, the board owns its status — the row shows the stage instead of asking you to keep two statuses in step.
NoteA working note about it.Only people in this workspace can read it. Edit note / Save note.
Last movedWhen its state last changed. Not moved yet for a fresh save.

Filter by state, or All states. Load more fetches the next page.

Who can do what

  • Read — every Capture role.
  • Save, change state, edit the note, Start pursuit — Business Development Users, Proposal Managers, Managers and Capture Administrators.
  • Remove — Managers and Capture Administrators only. The working note and the state history go with it; the audit trail keeps a record that it was removed.

Start a pursuit

Start pursuit on a row puts the opportunity on the pipeline at Discovered, with you as owner and its deadline carried across, and links the saved record to the pursuit. An opportunity has one pursuit at most — starting it twice opens the one that exists. See The pipeline.

Export

On the Advanced plan, Proposal Managers, Managers and Capture Administrators can Export the list as a CSV file — including the working notes. Exporting asks you to confirm it is you. See Exports and confirmations.

What's due

FieldWhat it doesAccepted values / default
Due forWhich deadline this row is about.Response or Questions. An opportunity with both deadlines in the window appears once for each.
Opportunity / WhereThe work, and whether it is on the Pipeline or Saved. An opportunity that is both saved and on the board appears once, as the pursuit.
Due / LeftThe deadline on the workspace clock, and the days left.A deadline nineteen hours away reads "1 day", never "0 days".
OwnerWho will be warned: a pursuit's owner, or whoever saved the opportunity.Nobody owns this means no one will be warned. Give the pursuit an owner.
WarnedWhether the owner has been warned at the current step of the alert ladder.Warned, Not yet, or Too early — no step of the ladder has been reached yet.

What is left out

  • Pursuits already Submitted or Award pending, and closed pursuits — the response is in.
  • Saved opportunities marked Submitted, Won, Lost, No bid or Archived.
  • Deadlines that have passed.

A pursuit's response deadline is its own field — when an agency extends the date, edit it on the pursuit and the warnings follow it. The questions deadline comes from the solicitation as published.

The deadline alerts

The alert ladder warns at 30, 14, 7, 3 and 1 day before each response and questions deadline, checking every 30 minutes. Only the tightest step crossed is sent, so a pursuit first noticed two days out gets one "3 days left" message, not five. If the deadline moves, the ladder starts again for the new date. See Notifications and alerts.

Common gotchas

  • "Nobody was warned about a deadline." The row says Nobody owns this. Set an owner on the pursuit.
  • "The deadline is wrong." The agency extended it. Edit the pursuit's response deadline; the alerts and the calendar follow.
  • "I can't remove a saved opportunity." Only Managers and Capture Administrators can, because removing it deletes its note and history. Moving it to Archived keeps both.
