Notifications and alerts

EssentialEvery Capture role

Axis Capture tells people about seven kinds of event, through the workspace's own notification center. Each person chooses the channel for each kind in Account → Notifications, and mutes and quiet hours apply exactly as they do for every other module. Every notification opens the exact pursuit, solicitation or saved search it is about.

TL;DR — Deadline, match, saved-search, assignment, forecast and teaming alerts arrive in-app and by email by default; stage changes and new suggestions arrive in-app. Change any of them in Account → Notifications. You are never notified about something you just did yourself.

The eight kinds

FieldWhat it doesAccepted values / default
A response or questions deadline is approachingSent at 30, 14, 7, 3 and 1 day before each deadline on a pursuit or saved solicitation by default — "7 days left to respond", "3 days left to send questions". A Capture Administrator can change the warnings in Capture settings. To the pursuit's owner, or whoever saved it. Checked every 30 minutes. In-app and email.
A new opportunity matched your company profileNew strong matches found by the daily scoring — one message per person, naming the match when there is exactly one.To the people who use Axis Capture in the workspace: anyone who owns a live pursuit or has recently opened an opportunity. Daily. In-app and email.
A search you saved has found new resultsResults of a saved search you have not been shown before. To the person who saved the search, when its alerts are on. Daily, overnight — or once a week, with the whole week's new results, when a Capture Administrator sets that in Capture settings. In-app and email.

A pursuit you own changed stageSomeone else moved your pursuit — "… moved to Proposal development", "… was marked Won".To the owner. As it happens. In-app.
A planned procurement you are watching became a real solicitation"Now out for bid", with a link to the solicitation. To the person who started watching the forecast. Daily. In-app and email.

A company asked to team with you, or answered a request you sent"… asked to team with you", "… answered a partner need you posted", "… accepted your teaming request". Opens the request on Teaming.A request goes to the people who can answer it (Business Development, Managers, Capture Administrators); an answer goes to the person who asked. As it happens. In-app and email.

How the deadline ladder works

The steps are the workspace's: 30, 14, 7, 3 and 1 day out unless a Capture Administrator has set others in Capture settings (up to six, each from 1 to 90 days). The What's due screen uses the same steps.

  • One message per step, never five. If a pursuit is first noticed two days out, its owner is told "3 days left" once, then "1 day left" a day later — not every step at once.
  • Days are rounded up. A deadline nineteen hours away is "1 day left", never "0 days left".
  • A moved deadline starts the ladder again. When an agency extends a date and you edit the pursuit, the warnings follow the new date.
  • No warnings after the fact, or once the response is in. Passed deadlines, pursuits at Submitted or Award pending, closed pursuits, and saved opportunities marked Submitted, Won, Lost, No bid or Archived are not warned.
  • One opportunity, one warning. An opportunity that is both saved and on the board is warned once, as the pursuit.
  • No owner, no warning. A pursuit with no owner is listed in What's due as Nobody owns this, and nobody is told. Give every pursuit an owner.

On the calendar too

Response deadlines, questions deadlines and expected award dates for your pursuits, saved opportunities and watched forecasts are placed on the workspace calendar and kept current every hour. Only dates still ahead are written; unsaving, unwatching or closing a pursuit takes its dates off.

Changing what you receive

Open Account → Notifications. Each Axis Capture kind is listed with the description above; tick or untick each channel, or mute the kind entirely. See Notifications.

Common gotchas

  • "I got no deadline alert." You are not the pursuit's owner (or the saver of the opportunity), the pursuit has no owner, or the pursuit is already at Submitted. Check What's due.
  • "My saved search never alerts." Its alerts are off, or the first overnight check hasn't happened. Changing a saved search's filters also starts its alerts afresh.
  • "A colleague moved my pursuit and I wasn't told." Stage changes made by an approval decision are recorded in the pursuit's history rather than sent as a stage notice.
