Documents, requirements and tasks
Three panels follow your work around Axis Capture. Documents keeps the files — solicitations and amendments, proposals and contracts, capability statements and templates. Requirements turns a solicitation into a tracked checklist of what it obliges a bidder to do. Tasks holds the follow-ups, in the same task list as the rest of your work.
TL;DR — On a solicitation's page or a pursuit's page, upload the solicitation under Documents and choose Read the requirements to build the checklist. Work each requirement to Addressed. Add Tasks on any solicitation, pursuit, organization or contact; they land in the assignee's workspace task list.
Documents
| Field | What it does | Accepted values / default |
|---|---|---|
| On a solicitation (Your documents) | Files your team attached — the solicitation, amendments you were sent, questions and answers, the award notice, supporting documents. | Separate from what the agency published, which is listed above it. |
| On a pursuit | The solicitation and its amendments, questions and answers, and your proposals, contracts, teaming agreements, past performance and supporting documents for this pursuit. | Private to your workspace. What is this? offers *Solicitation* first — for a grant, an SBIR/STTR topic, a forecast or a private lead, the pursuit is where the papers you are answering live. |
| On Company Essentials | Capability statements, corporate profiles, certifications, supporting and company documents, and proposal, capability and response templates. | A certification can carry an Expires date. |
| Field | What it does | Accepted values / default |
|---|---|---|
| File types | PDF, Word, PowerPoint, Excel, plain text, PNG or JPEG. | Anything else is refused before upload. |
| Size | Up to 25 MB per file. | Larger files are refused; files up to the limit upload whole. |
| Content check | A file's contents must match its type. | A renamed file — a different kind of file given a .pdf name, for example — is refused. Upload the original document. |
| Malware scan | Every upload is scanned. | Until the scan finishes the file shows Being checked for malware and cannot be downloaded. |
| Versions | Each document shows its version and upload date. | Storage, versioning and retention are the workspace's. |
Everyone with access to Axis Capture can read and download documents on the records they can see. Uploading needs Business Development User, Proposal Manager, Manager or Capture Administrator.
Requirements
The Requirements checklist lists what a solicitation obliges a bidder to do, tracked through the proposal. It is on a solicitation's page and on a pursuit's page, and on each it is built from the newest Solicitation or Amendment document uploaded on that page — so a pursuit of a grant, an SBIR/STTR topic, a forecast or a private lead gets a checklist too.
Upload the solicitation
On the solicitation's page under Your documents, or on the pursuit's page under Documents, upload it with What is this? set to Solicitation (or Amendment).
Read the requirements
Choose Read the requirements. The document's text is read and turned into a checklist. This is an AI feature: it needs the Advanced plan and the workspace's AI switch on.
Work the checklist
Set each requirement's Status, its owner and notes. The checklist shows how many are settled: "12 of 40 settled (30%)".
Read it again after an amendment
Upload the amendment and choose Read it again. Requirements that are unchanged keep everything your team recorded on them; new ones are added; ones the amendment removed are marked Withdrawn by an amendment rather than deleted. The result says how many were new, already on the list, and withdrawn.
| Field | What it does | Accepted values / default |
|---|---|---|
| Kind | Eligibility, Technical, Business or Documentation. | Documentation means what you must submit. |
| The requirement | What the solicitation obliges a bidder to do, with its clause reference where there is one. | Correct the wording if it was read wrong; the row then reads corrected by a colleague. |
| Status | Open, In progress, Addressed, or Not applicable. | Addressed and Not applicable count as settled. |
| Owner | Who is answering it. | A member of this workspace. |
| Notes | Working notes. | |
| Add one | Add a requirement the reading missed. | Marked Added by a colleague. Does not need AI. |
If a document is still being read, could not be read, or is a kind of file that cannot be read automatically, the panel says so. A very long document may be read in part — the checklist then says it covers the earlier sections only.
Compare with our capabilities opens the capability comparison for this checklist — which requirements your listed capabilities cover. See Company Essentials → Capability gaps.
Everyone can read checklists. Changing a requirement — its state, owner or wording — needs Business Development User, Proposal Manager, Manager or Capture Administrator.
Tasks
Tasks are ordinary workspace tasks. They live in your one task list, not in Axis Capture: completing one there completes it here.
| Field | What it does | Accepted values / default |
|---|---|---|
| Where | On a solicitation, a pursuit, an organization or a contact. | Each record's Tasks panel lists what is outstanding on it. |
| What needs doing | The task. | Required. |
| Details / Due / Priority | More detail, a due date and time, and Low, Normal, High or Urgent. | Due times are on the workspace clock. |
| Assigned to | Who does it. | Defaults to you. Only members of this workspace can be chosen; a deactivated person cannot be given new tasks. |
Adding tasks needs any role except Read-Only User — an Analyst who can read a pursuit can also note a follow-up on it. The Dashboard's My tasks shows the Capture tasks assigned to you that are overdue or due today.
Common gotchas
- "Read the requirements isn't there on our pursuit." The checklist reads a document uploaded on the same page as a Solicitation or an Amendment. Upload one under the pursuit's Documents (a proposal or a contract is your own writing, and is never read for requirements), or use the checklist on the solicitation's own page.
- "That file's contents do not match its file type." The file was renamed from another format. Upload the original document.
- "Reading requirements is not part of your current plan." Requirement extraction is on the Advanced plan. You can still add requirements by hand.
- "The download link isn't working yet." The file is still being checked for malware. Try again in a moment.
