Capture settings

EssentialEvery Capture role can see themCapture Administrator changes them

Capture settings is where Axis Capture is configured for your whole workspace: the pipeline's stages, how bids and matches are scored, your GSA readiness checklist and who signs it off, which parts of the public record you read, how often you are alerted, and which AI features are on. Every setting here changes what the product does — the board, the scoring runs, the searches and the alerts all read them — not only what a screen shows.

TL;DR — Open Axis Capture → Set up → Settings. Everyone can see how the module is configured; only a Capture Administrator can change it. Each section saves on its own, shows who changed it last and when, and every change is recorded in the workspace's audit trail.

People & roles is where you decide who can use Axis Capture and with which role. Billing and plans are not here — they are managed in your workspace's own settings.

Who can change what

  • Every Capture role can open Settings and see each section, with a note that only a Capture Administrator can change them.
  • A Capture Administrator changes them. Each section has its own Save changes and Discard changes, and Restore defaults where the product has a default.
  • Bid/no-bid weights change every future recommendation, so saving them asks you to confirm it is you. See Exports and confirmations.
  • If someone else saved the same section while you were editing, your save is refused and the page reloads their version, so nobody's change is silently overwritten.

People & roles

Settings → People & roles lists everyone in your workspace with their Capture role, from Read-Only User to Capture Administrator.

  • Pick a role next to a person to give it; the change takes effect on their next action. Remove access takes it away — Capture asks you to confirm first, and so does making someone a Capture Administrator.
  • The counts above the list (With access, each role, No access) filter it.
  • Workspace administrators are marked as such: they already have full access to every module through their workspace role.
  • A Capture Administrator can give and change roles here, but cannot change their own role or grant access to every module — ask a workspace administrator for those.
  • What each role can do opens a table of every permission Capture declares, by role.
  • This is the same list as Settings → People in your workspace settings: a change made in either place shows in both, and each one is recorded in the workspace's audit trail.

Pipeline stages

Name the stages the way your team does, put the working stages in your own order, stop using the ones you skip, and set each stage's Default win %. The board, the moves a pursuit can make, where a new pursuit opens, the pipeline figures, the analytics funnel, notifications and exports all follow.

  • Bid / no-bid review and Submitted are always in use: the commitment-to-bid approval sits on the first, and deadline warnings stop at the second. Bid / no-bid review must come before Submitted, and Award pending after it.
  • The three Outcomes — Won, Lost and No bid — can be renamed, but their order and win probabilities are fixed, because the win rate is measured against them.
  • A stage with open pursuits in it cannot be turned off until they are moved. The section shows how many are in each stage.
  • A stage name is at most 40 characters, and two stages cannot share a name.

Bid/no-bid weights

The criteria every bid/no-bid worksheet is scored against, and how much each counts. Weights are whole percentages and must total 100. A change applies to worksheets opened from then on; each decision keeps the weights it was scored with. The Bid decisions screen shows the current weights read-only, with a link here. See Bid decisions.

GSA readiness checklist

Your company's own copy of the GSA schedule readiness checklist: reorder items, make each required to offer or optional, choose whether it needs evidence, remove items, and add items of your own. Switch the internal sign-off on or off and choose who signs off — Managers and Capture Administrators, or Capture Administrators only. Changes apply to the assessment in progress straight away, keeping every answer already given. When a newer standard checklist is published you are offered it — adopt it or keep yours — and never changed without being asked; Restore defaults adopts the current standard checklist. See GSA schedule readiness.

Match scoring

How much each part of a match counts — codes, keywords, capabilities, agencies, place of performance, set-aside eligibility, contract size, time to respond, competition and past performance — and the scores at which a match is Strong and Possible.

  • The weights must total 100. A part with nothing to judge for an opportunity is left out of that opportunity's score rather than counted as zero.
  • Strong from sets what the daily new-match alert tells your team about. Raise it to hear about fewer, closer fits.
  • Scores are recomputed every night with these settings. To apply a change now, press Rescore on the Matches screen.

Data sources

Choose which parts of the public record feed Discovery, your matches and their alerts: Federal, State, Local and tribal, Defense, SBIR/STTR topics and Grants.

  • A source you turn off is not searched, not matched and not alerted on: its category leaves Discovery, its notices stop being proposed as matches, and saved searches in that category pause until it is turned back on.
  • Defense needs Federal — defence agencies are federal agencies.
  • Keep at least one source on.
  • Your own leads — B2B, subcontracting, teaming and other private opportunities — are your workspace's data and always appear.
  • On Analytics, the Market panel counts notices only from the sources you read. See Analytics.

Saved searches

  • Alert on new results by default — whether a new saved search alerts its owner unless they turn it off when saving.
  • How often to look for new work — Every day (each saved search runs every night and announces what appeared since the night before) or Once a week (one message with the whole week's new work; nothing is missed in between).

Deadline alerts

How many days before a response or questions deadline the pursuit's owner is warned — up to six warnings, each from 1 to 90 days, widest first. The nightly deadline scan and the What's due screen both use them. Only one warning is sent at a time: a pursuit found two days out is told once, not once for every warning it has already passed. See Notifications and alerts.

AI features

Turn individual AI features off for this workspace: the bid/no-bid second opinion, requirement reading, what to do first, match explanations, solicitation summaries and SBIR/STTR topic fit. A feature that is off is never called; its screen says it has been turned off in Capture settings, and everything that does not depend on it — scores, reasons, worksheets, checklists — stays.

These sit beneath the workspace's AI master switch: when AI is off for the whole workspace, every feature here is off, whatever this section says. On a plan without Axis Capture's AI features there is nothing to turn on or off. See AI features.

Teaming directory

Whether other workspaces can find your company when they look for teaming partners, and what they see, is managed on the Teaming screen — never here, because publishing a capability profile shares it with other companies. The section links to it.

Common gotchas

  • "I can't change anything." Only a Capture Administrator can. Ask your workspace admin to give you that Capture role.
  • "I can't turn a stage off." It has open pursuits. Move them to another stage first — the section says how many.
  • "My new match weights don't show yet." Scores are recomputed nightly. Press Rescore on Matches to apply them now.
  • "A Discovery category disappeared." Its data source is turned off here. Turn it back on to search it again.
  • "Save was refused and the page reloaded." Someone else saved that section first. Their version is now on screen — make your change again.
