Welcome to Axis Capture
Axis Capture is the government-contracting capture module — the work a company does between "an agency wants something" and "we won it". It finds federal solicitations, grants and research topics, and keeps the B2B, subcontracting, teaming and state and local leads your team learns about; scores solicitations against what your company actually does; tracks the ones you pursue through a staged pipeline; records the bid / no-bid call and why it was made; and keeps the history of who won what, against whom, so the next decision is better informed than the last.
The module exists because capture work usually lives in five places at once — a public search site, a spreadsheet of pursuits, a shared drive of proposals, someone's inbox of contracting-officer emails, and the memory of whoever made last year's no-bid call. Axis Capture puts all of it in one workspace, private to your company.
TL;DR — Fill in Company profile first: it is what every match score is computed against. Then search in Discovery, review Matches, save what is worth a look to My opportunities, and start a pursuit on the Pipeline. Score the hard calls in Bid decisions. What's due and the alerts keep deadlines from slipping.
What the module covers
The left rail groups the screens the way capture work flows: find work, pursue it, understand the market, and set the module up.
| Field | What it does | Accepted values / default |
|---|---|---|
| Dashboard | Where the workspace stands right now — matches, saved work, deadlines, pipeline value, tasks, suggestions. | Covered in The Dashboard. |
| Find work | Discovery, Matches, SBIR/STTR, Defense parts, Grants, Forecasts, State & local. | Start with Discovery and saved searches and Matches and scoring. Some sources are not collected yet — see Where the data comes from. |
| Pursue | My opportunities, What's due, Pipeline, Bid decisions. | See The pipeline and Bid decisions. |
| Understand | Awards (who wins this work, and what you have won) and Analytics. | See Awards and won contracts and Analytics. |
| Set up | Accounts (your CRM), GSA readiness, Company profile. | See Company Essentials. |
Who it is for
| Field | What it does | Accepted values / default |
|---|---|---|
| Business development | Finds work, qualifies it, decides what to chase. | Lives in Discovery, Matches, My opportunities and the Pipeline. |
| Proposal managers | Runs the response once the company commits. | Works pursuits: documents, the requirements checklist, tasks, the bid worksheet, and records the wins. |
| Capture and BD leadership | Approves commitments and owns the company's profile. | Approves moves into bid commitment, edits Company Essentials, reads Analytics. |
| Analysts | Studies the market and the team's track record. | Reads everything, can add tasks, and can see Analytics — but does not change pursuits or CRM records. |
| Everyone else in the company | Needs to know what is out for bid and what the team is working on. | Read-only access to the same screens. |
Each of those maps onto one of the module's seven roles. The full table of what each role may do is in Getting started → Roles.
Where to start
- New workspace? Getting started with Axis Capture walks subscribing, assigning roles, and the first hour of setup.
- Setting up the company profile? Company Essentials.
- Looking for work? Discovery and saved searches.
- Pursuing something? The pipeline.
- Wondering where the data comes from? Where the data comes from.
Why the company profile comes first
Every match score, every "why this scored" explanation, every suggestion on the Dashboard, and the default market on the Awards screen are computed from Company Essentials — your capabilities, target codes, certifications, past performance, target agencies and states. A workspace with an empty profile can still search, but Matches has nothing to compare against and says so. Ten minutes on the profile is the highest-leverage setup step in the module.
What stays private
Public procurement data — solicitations, awards, grants, forecasts — is shared reference data every workspace reads. Everything your team adds on top of it belongs to your workspace alone:
- Saved opportunities, pursuits, notes, bid worksheets and decisions.
- Private leads (B2B, subcontracting, teaming, other) that never appear in a public feed.
- CRM organizations, contacts and the communication history with them.
- Documents, requirement checklists and tasks.
- What you have claimed as won.
Private notes fields are marked as such on screen. They are readable only by people in your workspace and are never written to the audit trail — the audit trail records that a record changed, not what your note said.
How Axis Capture pairs with the rest of the workspace
- Tasks you add on a pursuit, solicitation, organization or contact are ordinary workspace tasks — they appear in your one task list beside everything else, and completing one there completes it here.
- Calendar — response deadlines, questions deadlines and expected award dates for the work you are tracking are put on the workspace calendar and kept current.
- Notifications use the workspace's notification center, so each person chooses the channel for each kind of alert in Account → Notifications.
- Approvals — a request to commit to a bid lands in the workspace approvals inbox for a Manager to decide.
Common gotchas
- "Matches is empty." The company profile does not exist yet, or has no capabilities and target codes. See Company Essentials.
- "Analytics is missing from my rail." Analytics is limited to Analysts, Business Development Users, Proposal Managers, Managers and Capture Administrators. Read-Only and Standard Users do not see it.
- "The AI buttons say AI is switched off." Your workspace administrator controls one AI switch for the whole workspace. See AI features.
