Exports and confirmations
A handful of actions in Axis Capture change the company's record or take its commercial position out of the product. Each asks for a fresh confirmation that it is you at the moment you act — the platform's step-up prompt — and is recorded in the audit trail. This page lists them, and covers exporting lists as files.
TL;DR — Exporting a list, recording, editing or releasing a won contract, closing a pursuit, changing the bid scoring weights, and publishing to the partner directory each ask for your passkey or authenticator. Approving or rejecting a bid commitment asks for a passkey. Backing out of the prompt changes nothing.
The confirmations
| Field | What it does | Accepted values / default |
|---|---|---|
| Exporting a list | Downloading the pipeline or My opportunities as a file. | The prompt reads *You are downloading your workspace's data from Axis Capture.* Passkey, security key or authenticator code. |
| Recording, editing or releasing a won contract | We won this, Edit, Not ours after all on Awards. | *You are changing your company's record of won contracts.* Passkey, security key or authenticator code. |
| Closing a pursuit | Moving a pursuit to Won, Lost or No bid. | *You are closing a pursuit as won, lost or no bid.* Ordinary moves between working stages never ask. |
| Changing the scoring weights | Save changes under Capture settings → Bid/no-bid weights (Capture Administrator only). | *You are changing the scoring weights every future bid decision is judged against.* |
| Publishing to the partner directory | Publish to the directory, a save that shows other companies something new, and Post need on Teaming. | *You are publishing your company to the partner directory, where other companies can see what you choose to show.* Withdrawing, or switching a field off, never asks. |
| Deciding a bid commitment | Approving or rejecting the move from Bid / no-bid review to Pursuing, in the approvals inbox. | Passkey only, for approving and for rejecting — either answer moves the pursuit. |
How the prompt behaves
You take the action
The action does not happen yet; the confirmation prompt opens and says what you are confirming.
You confirm
Use your passkey or security key, or type your authenticator code (passkey only for a bid commitment decision).
The action completes
The confirmation is single-use and good for this one action only — a confirmation for an export cannot be spent on recording an award.
If you close the prompt, nothing happens and nothing is changed; the screen says so. To use these actions you need a second factor set up in Account → Security; to decide bid commitments you need a passkey. Confirmed actions also count toward a per-person fair-use limit. See Step-up authentication for how the platform's prompt works.
Exporting lists
| Field | What it does | Accepted values / default |
|---|---|---|
| What | Export on the Pipeline, and on My opportunities. | Two lists. Nothing else in Axis Capture exports today. |
| Plan | Exporting is part of the Advanced and Enterprise plans. | On Standard, choosing Export says exporting is not part of your current plan. |
| Who | Proposal Managers, Managers and Capture Administrators. | Narrower than reading the same rows on screen: taking a copy out of the product is a different act. |
| Format | A CSV file named for the list and the date, e.g. axis-capture-pipeline-…csv. | Dates are full timestamps with their offset, so they sort and parse correctly in a spreadsheet. Cells that could be read as spreadsheet formulas are defused. |
| Pipeline columns | Title, Stage, Estimated value, Probability, Owner, Response deadline, Opened, Closed, Opportunity. | Owners by name; probability shows the stage default where your team set none. |
| My opportunities columns | Opportunity, Kind, State, Notes, Saved, State changed. | Includes the working notes — treat the file accordingly. |
| Size | Up to 5,000 rows per file. | A longer list is cut at the limit and the screen says *This file holds the first 5,000 rows only*. |
Every export is recorded in the audit trail — who, when and which list — without the file's contents.
Common gotchas
- "Downloading needs a fresh confirmation … and it was not given." The prompt was closed. Nothing was downloaded; try again.
- "I can't approve the bid commitment." You need a passkey. Add one in Account → Security, then decide it from the approvals inbox.
- "There's no Export button." Your role is not Proposal Manager, Manager or Capture Administrator.
- "Exporting is not part of your current plan." The workspace is on Standard; exporting is an Advanced-plan feature.
