Welcome to EEO

ProfessionalHR + EEO staff

AxisSynapse EEO is the compliance casework module — every discrimination, harassment, retaliation, and accommodation matter travels through a single intake → triage → investigation → resolution pipeline. The module exists so that, when a regulator or your own audit committee asks "what did you do, when, and who decided?", you have a complete answer without reconstructing it from email.

TL;DR — Open EEO → Cases to see every active matter. New reports land in Intake; assign one to triage them. Investigation tasks, witness logs, evidence, and outcomes are all attached to the case so the chain of custody never leaves the workspace.

Where to start

Why every action is recorded

Every casework action — opening a case, reassigning it, recording a witness interview, granting an accommodation, closing a matter — is written to the case's tamper-evident ledger. The ledger is the artifact your counsel hands a regulator or judge to demonstrate due process. You don't have to build that record on the side; the module builds it as you work.

Retention follows the longest applicable rule across EEOC § 1602.14, ADA § 35.107, and your local state floor. Cases that touch an EEOC charge are held indefinitely until the charge is closed and the appeal window expires. See Audit-log retention for how those floors interact with the workspace-wide retention policy.

Privacy and access

EEO cases contain some of the most sensitive data in the workspace: medical information, allegations against named coworkers, and information that — if leaked — could create liability or retaliation risk.

  • Default scoping is strict need-to-know. Only the assigned investigator, the case lead, and HR see case details. Managers of the parties see only the outcome that affects their team (e.g. "an accommodation is in effect for employee X"), never the underlying medical reason.
  • PHI (medical and disability data) is redacted by default from manager-facing surfaces and from any AI-assisted draft.
  • Witness statements are stored against the case but masked from cross-case search; an investigator searching for a pattern must request access from the case owner and have the access recorded.

Common gotchas

  • "A manager asked me why an accommodation is in place." Don't share the medical reason. The workspace policy is the answer — "an approved accommodation is in effect; please direct medical questions to HR."
  • "The same person filed two reports." That's fine — let both intake. Don't merge or close one as a duplicate until triage; the second report may surface details the first omitted.
  • "I want to bulk-export every EEO case for legal." Use the Export action on the case list; it produces a regulator-ready bundle (CSV manifest + PDF case files + ledger). Don't screenshot — the export is signed and timestamped for evidentiary value.
